Why a security deposit receipt matters

Deposit disputes at move-out are among the most common landlord-tenant disagreements, and they usually start with a simple question: how much was paid, and when? A receipt issued at move-in answers that question for both sides, often years later.

State rules to know about

Some states require a written receipt for a security deposit, and a few require details such as the bank where the deposit is held. Massachusetts and Maryland are well-known examples. Many states also cap deposit amounts and set deadlines for returning them. Check your state’s landlord-tenant rules before move-in.

Tips

Issue a separate receipt for the deposit and for the first month’s rent, so each payment has its own clear record. For a pet deposit, choose Pet deposit under “Payment for”. For the monthly rent that follows, use the rent receipt generator.

Common questions

Is a landlord required to give a receipt for a security deposit?

It depends on the state. Some, including Massachusetts and Maryland, require a written receipt. Even where it is not required, it is strongly recommended.

Should the deposit and first month’s rent be on one receipt?

Separate receipts are clearer. Create the deposit receipt here, then switch “Payment for” to Rent (or use Duplicate) for the first month.

Can I use this for a pet deposit?

Yes. Choose “Pet deposit” under “Payment for”. The document title changes to Deposit Receipt.

What should I put in the notes?

Useful notes include the lease start date, where the deposit is held, and any conditions for its return that are in the lease.

Is my tenant’s information stored anywhere?
