What a rent receipt should include

A rent receipt is a simple proof-of-payment record. It protects the tenant if there is ever a dispute over whether rent was paid, and it protects the landlord with a clean paper trail for taxes and bookkeeping.

When landlords should give a receipt

It is good practice to give one for every payment. It matters most for cash payments, which leave no bank record, and several states require a written receipt when rent is paid in cash. Tenants may also need receipts for rental assistance programs, subsidy paperwork or tax credits. Rules differ by state and city, so check what applies where your property is.

Common questions

Is a rent receipt legally valid?

A receipt showing the tenant, landlord, property, period, amount, date and payment method is generally accepted as proof of payment. Some states require landlords to provide receipts, particularly for cash. Check your local rules.

Does the receipt need a signature?

It is not always required, but a signature makes the receipt stronger evidence. The PDF includes a signature line; sign after printing or add a digital signature in your PDF app.

Can a tenant make their own rent receipt?

A tenant can prepare one, but it only proves payment once the landlord or property manager signs it.

Can I record a check number or Zelle reference?

Yes. Choose the payment method and enter the check number or transaction reference in the optional reference field.

Can I print blank rent receipts instead?

What paper size does the PDF use?
